What every invoice should include

  1. The word Invoice (or Tax invoice if you are VAT/GST registered)
  2. Your business name, address and contact details
  3. Your client's name and billing address
  4. A unique invoice number
  5. The invoice date and the due date
  6. A clear description of each product or service, with quantity and price
  7. Subtotal, any tax shown separately, and the total due
  8. Payment terms and how to pay
  9. Any PO or quote reference the client gave you
  10. Your tax or registration number, where required

Are the templates really free?

Which format should I download?

Excel if you want totals calculated automatically, Word if you prefer editing a document, and the PDF if you want to print and fill in by hand. Whatever you edit in, send your client a PDF.

How do I turn the template into a PDF?

In Word use File > Save As > PDF; in Excel use File > Export > Create PDF/XPS (or Save As > PDF on a Mac); in Google Docs or Sheets use File > Download > PDF.

Do I have to add tax to my invoice?

Only if you are registered to collect sales tax, VAT or GST and the sale is taxable. If you are not registered, leave the tax rate at 0%. The tax invoice page explains VAT and GST invoices.
